Essential Qualifications: |
-Ability to multitask and work as part of a closely integrated team -Excellent organization skills; supervisory skills; record-keeping skills -Working knowledge of personnel administration: W2/background checks/payroll-direct deposit; PERA/TRA -Knowledge of company insurance program administration -Practical knowledge of bookkeeping; accounts payable/receivable management -Practical experience with purchasing and vendor coordination -Excellent computer skills -Significant recent experience with Power School or similar learning management systems -Experience with the Minnesota state reporting system: e.g, MARSS, Test WES, STAR, EDRS, SERVS, MCCC -Ability to effectively collect, interpret, and use data to drive programs and policies -Experience collaborating with students, families, and the diverse communities our school serves -Demonstrated leadership ability -Excellent interpersonal skills with both adults and students -Demonstrated creativity, flexibility, and extreme patience -Understanding of and belief in Augsburg Fairview Academy’s unique mission and vision -Bachelors Degree and a minimum of three years of work experience preferred |
Essential Job Functions: Budget & Finance, Human Resources, Facilities & Operations, Student Support |
Budget & Finance: |
-Serve as liaison between school finance consultant and AFA -Assist the annual budget process and timeline to assure alignment with AFA’s goals -Assist in annual and mid-term budgeting and budget expenditure monitoring -Work with the Board Treasurer and school finance consultant to prepare and present monthly financial reports -Serve as liaison and overseer of financial management/reporting services relevant to UFARS and Special Education billing -Serve as liaison and overseer of the auditing firm contracted to conduct the school’s annual audit -Analyze and recommend changes to improve annual and monthly financial management processes and/or reporting -Oversee and make recommendations relevant risk management issues -Maintain internal controls and develop financial policies and procedures for AFA -Attend monthly Board meetings -Ensure tuition acknowledgments for Special Education scholars are created and communicated with resident school districts -Learning Management Systems Site CoordinationOther duties as assigned |
Human Resources: |
Provide leadership and support to the HR Committee and Executive Director in recruiting and hiring licensed and non-licensed staff -Maintain personnel files for current and former staff in compliance with employment and data privacy laws -Serve as liaison between ADP and AFA, and complete payroll, manage PTO and comp time, conduct background checks, and manage benefits -Compete all personnel reporting -Coordinate and/or facilitate orientation processes for new staff -Assess staff compensation and benefit programs, recommend changes aligned with strategic plan and goals, and lead contract negotiations with benefit providers -Ensure compliance with federal and state employment laws including workers’ compensation, COBRA, HIPAA, etc. -Directly supervise and evaluate the maintenance team -Provide PowerSchool administrative and technical support to staff including password help, screen access -Train new employees on PowerSchool login access, student directory as part of on-boarding process -Other duties as assigned |
Facilities & Operations: |
-Serve as primary liaison to property manager regarding lease management, landlord duties and responsibilities, and identification and resolution of problems with facilities -Serve as nutrition program coordinator, order and serve meals, complete state reporting, applications, and audits -Serve as transportation coordinator -Support and oversee vendor relationships and services -Schedule and conduct all annual safety drills -Respond to emergency clean-up situations -Ensure compliance with all licensing needs -Support and oversee monitoring and tracking all permanent school fixtures, furniture, etc. -Serve as the primary point of contact for technology service with support from AFA’s Information and Technology consultant -Manage the lease, purchase, and maintenance of all staff and scholar technology devices -Serve as a liaison between the District Assessment Coordinator and IT Consultant to ensure a seamless, coordinated scholar testing environment for all standardized testing periods -Other duties as assigned |
Student Support: |
-Handle phone/voice mail/email communications relating to academic/support -Learning Management Systems Site Coordination -Manage front desk, provide reception for visitors, receive and sort mail -Monitor, confirm, and update student/family contact information on regular schedules -Retention strategy (ie., continuous improvement in retention of enrolled students) -School-wide response to student crises & behavior -COVID-19 Coordinator, student first aid administrator -First Response Team: coordination, training, and management -Manage student requests: transcripts, ID documents, first aid/personal items; bus tokens -Manage school lockers and locks -Process photos and info for student ID documents -Other duties as assigned |

Physical Demands and Work Environment: |

Position Logistics: |
-40 hours per week minimum -Monday – Friday from 7:45am-4:00pm -Compensation based on the Augsburg Fairview Academy FY22 salary schedule |
